Administrative Assistant

PGS Worldwide is seeking an Administrative Assistant in Norfolk, Virginia for an approximately five-month onsite contract role supporting a leading aerospace & defense company. This position will provide comprehensive administrative support within a fast-paced program environment, helping maintain accurate records, coordinate communications, support project personnel, and ensure day-to-day administrative activities are completed accurately and on schedule.

Required Skills
  • High school diploma or equivalent.
  • 3+ years of administrative experience.
  • Experience supporting a fast-paced environment with multiple priorities and deadlines.
  • Advanced Microsoft Excel skills.
  • Advanced Microsoft Outlook skills.
  • Proficiency with Microsoft Word, PowerPoint, and SharePoint.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to effectively interact with project managers, schedulers, leadership, and other internal and external stakeholders.
  • Strong attention to detail and accuracy.
  • Ability to maintain accurate records, reports, and databases.
  • Ability to appropriately handle confidential and sensitive information.
  • Strong analytical and problem-solving skills.
  • Ability to work independently with minimal supervision.
  • Ability to adapt to changing priorities and deadlines.
Preferred Skills
  • Bachelor's degree in Business Administration, Communications, or a related field.
What You'll Do
  • Provide day-to-day administrative support for program and project activities.
  • Maintain accurate and up-to-date records, reports, files, and databases.
  • Coordinate communications among internal, external, and corporate team members.
  • Prepare and maintain administrative documentation and project materials.
  • Support project managers, schedulers, superintendents, and other program stakeholders.
  • Assist with organizing meetings, correspondence, presentations, and other administrative activities.
  • Track assigned actions, deadlines, and administrative requirements.
  • Use Excel, Outlook, SharePoint, Word, and PowerPoint to support program operations.
  • Identify administrative issues and help develop process improvements.
  • Maintain confidentiality when handling sensitive program and personnel information.
  • Support ship-maintenance program activities and other assigned project requirements.
Work Schedule / Shift
  • 100% onsite in Norfolk, Virginia.
  • Monday–Friday.
  • 7:15 AM–4:00 PM.
  • No travel expected.
Pay
  • $24.29 per hour.
