Role Overview
VersAbility Resources is seeking a highly organized and detail-oriented Administrative Assistant to support operations within the Military Sealift Command (MSC) contract.
This role provides administrative, clerical, records management, and customer service support in a fast-paced government contract environment. The Administrative Assistant serves as a primary point of contact for the department and is responsible for maintaining accurate records, supporting compliance requirements, coordinating administrative activities, preparing reports and presentations, and ensuring efficient office operations. The ideal candidate is professional, adaptable, detail-oriented, and comfortable managing multiple priorities while handling sensitive and confidential information.

What You'll Do
• tProvide administrative and clerical support through correspondence management, scheduling, data entry, filing, and records management
• tServe as a primary point of contact by answering phones, responding to inquiries, and providing professional customer service
• tMaintain and update databases, spreadsheets, reports, records, and filing systems
• tPrepare reports, presentations, communications, and administrative documentation
• tCoordinate meetings, appointments, timelines, and departmental activities
• tConduct research and assist with special projects and administrative assignments
• tCollaborate with internal departments to support efficient workflow and operations
• tProcure and maintain office supplies and equipment within approved budgets
• tSupport compliance, confidentiality, and data security requirements
• tAssist with onboarding activities, workload coordination, and quality assurance reviews as assigned
• tFloat between locations and support administrative coverage as operational needs require
• tObtain and maintain access to military installations and work onsite during scheduled hours
• tPerform other duties as assigned

Qualifications
• tHigh school diploma or GED required, associate or bachelor's degree in business administration, Human Resources, Administrative Support, or a related field preferred
• tMinimum of two years of experience in an administrative, clerical, records management, or data entry role within a professional office environment
• tProficiency in Microsoft Office Suite, including Word, Excel, Outlook, and SharePoint
• tExperience maintaining records, databases, spreadsheets, and administrative documentation with a high degree of accuracy
• tStrong organizational, customer service, communication, and multitasking skills
• tAbility to handle confidential and sensitive information with professionalism and discretion
• tAbility to prioritize tasks, manage competing deadlines, and adapt to changing priorities in a fast-paced environment
• tExperience supporting compliance-driven, government, military, or regulated environments preferred
• tLeadership, team coordination, onboarding, or quality assurance experience preferred
• tFamiliarity with disability services is a plus
• tSelf- transportation required for travel between NBPL (Naval Base Point Loma) and NBSD (Naval Base San Diego) locations as needed
• tMust possess or be able to obtain and maintain a Secret Security Clearance (Please note we can facilitate this process but obtaining at minimum an Interim Secret Clearance is required before receiving a start date.)
• tValid Driver's License required for applicable work locations________________________________________
Work Environment & Physical Requirements
This position operates in a professional office environment supporting a government contract. The role requires frequent interaction with staff, leadership, and external stakeholders.
Work is primarily sedentary, with prolonged periods of sitting and computer use. Occasional standing, walking, and lifting (up to 10-20 lbs.) may be required.

Schedule
This is a full-time position scheduled Monday through Friday from 6:00 AM to 2:30 PM (40 hours per week), offering a consistent daytime schedule. (40 hours per week). Occasional flexibility may be required based on operational needs.
