About the Role:

The Clerk is responsible for executing clerical duties across all stages of the Records Lifecycle-Capture, Storage, Management, and Maintenance. This includes tasks such as records intake, inventory, data entry, indexing, and improving records-related metadata to ensure accuracy, accessibility, and compliance with Company standards.

Key Responsibilities:

General
  • Adhere to all Company policies, confidentiality requirements, and data protection standards.
  • Document work activities and provide progress tracking and reporting as needed.
  • Actively support and participate in Company core values, including safety initiatives.
Task and Project Tracking
  • Create and maintain tracking mechanisms (e.g., Excel spreadsheets, SharePoint lists) for tasks and projects.
  • Assign metadata to tracked items to enable progress monitoring and metrics reporting.
  • Prepare clear written or visual updates outlining progress, challenges, and barriers to completion.
Records Lifecycle Management

Records Capture/Storage/Archival
  • Organize, process, and file records in compliance with Company specifications across electronic and physical filing systems.
  • Index records by entering accurate metadata into designated systems per Company guidelines.
  • Coordinate with internal teams to manage transfer of records to and from offsite storage.
  • Apply correct nomenclature and naming conventions according to established Company standards.
Records Management/Usage
  • Assist with researching records to fulfill internal and external record requests.
  • Perform comparison checks on records to ensure consistency and accuracy.
Records Maintenance/Disposition
  • Conduct special data-cleanup and records-related data scrubbing as assigned.
  • Follow records retention and disposition requirements under the guidance of enterprise records personnel.
Qualifications:
  • Experience working as a Records Clerk (preferred).
  • 2-5 years of experience in records management, clerical filing, or related work.
  • General understanding of the Records Lifecycle, including storage, retrieval, and retention.
  • Excellent organizational skills and strong attention to detail.
  • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Ability to operate general office equipment including phones, copiers, and scanners.
  • Physical capability to lift up to 25 pounds.
  • High school diploma or equivalent required.
