Summary
The Outpatient Scheduling Manager is responsible for outpatient scheduling department.
Essential Duties and Responsibilities
These duties and responsibilities described below represent the general tasks performed on a daily basis; other tasks may be assigned.
- Direct, staff, and supervise the Outpatient Scheduling department, including hiring, evaluations, disciplinary action, orientation, and training.
- Oversee and monitor quality control to ensure sound and compliant practices are followed
- Make decisions pertaining to patient care, complaints, and problems that impact patient care and satisfaction
- Remain knowledgeable of diagnostic tests and procedures performed, and serve as a resource for patients, staff, clinical areas, and physician office staff by answering questions and resolving problems
- Assist the Education Coordinator by identifying instructional deficits and develop appropriate educational tools for patients and physician office staff
- Answer calls related to scheduling and registering outpatient testing for patients and physician offices
- Promote collaborative medical staff and ancillary department relationships through availability, timely follow up on all issues, and personal one-on-one meetings
- Effectively coordinate scheduling of multiple tests/procedures with the appropriate staff and resources
- Demonstrate a strong working knowledge of ICD coding requirements
- Use appropriate software for medical necessity checking and explain ABN/letter of understanding to patient
- Keep abreast of trends and changes in various insurance requirements
- Ensure department maintains established productivity requirements, and maintains a 96% or greater accuracy rate
- Actively participate in service recovery and customer service activities to ensure a superior customer contact
- Report all statistical information for the scheduling department
- Maintain effective interdepartmental communication
- Act as a liaison between patients, families, and healthcare providers
- Attend required hospital-wide orientations, meetings, and in-services
- Demonstrate a commitment to flexible work scheduling when necessary to ensure patient care

Supervises: Scheduler I's, Scheduler II's Scheduler III's, Scheduler Leads
Responsibilities: Assist the Director of Patient Access with managing scheduling department expenses for the department, oversees and hiring of direct reports, provide performance feedback, manages scheduling workflows.
