Lease Administration Assistant opening located at our Corporate office located in Norfolk, VA.
REPORTS TO: Lease Administration Manager
SUPERVISES: N/A
PAYROLL STATUS: Non-exempt
PURPOSE OF POSITION: Support Lease Administration Team
ESSENTIAL FUNCTIONS:
Assists with tenant inquiries through various communication channels responding to phone calls and emails regarding lease administration matters.
Handles document distribution to include but not limited to tenant sales, shopping center water meter readings, daily department mail.
Database management for water meter readings, tenant Certificates of Insurance, Gross sales, scheduling, maintaining and mailing of monthly tenant billing statements via email and USPS, creating and maintaining digital files for calendar year shopping center paid invoices as they pertain to annual common area reconciliations.
Maintain Lease Administration duties for small commercial portfolio; responsible for entering new or amended lease information, calculate and distribute NET real estate tax or insurance billings, process lease terminations including security deposit refunds if required.
Provides general administrative support to the Lease Administration Team; maintains filing systems both digital and hard copy files.
Acts as a liaison between tenant and company departments including Accounting, Leasing, and Property Management.
Performs other essential functions as may develop over time, and/or as assigned by management.
REQUIREMENTS:
Able to handle an excessive volume of data entry
Strong organizational skills and ability to prioritize and meet required deadlines
Confident and professional communication skills
EDUCATION, SKILLS AND EXPERIENCE:
REQUIRED: 2-5 years of administrative office experience
PREFERRED: Some commercial property management exposure and knowledge of general lease language
SOFTWARE USED: Microsoft 365; Intact Digital Storage; MRI Accounting; Sharefile; Microsoft Teams; AVID AP System
